Send online Snapshot link for a child who is not in LENA Online
The "unknown participants" feature allows you to send unique Snapshot links to caregivers of children who have not been set up in LENA Online. This feature is disabled by default. Your program implementation specialist at LENA can enable it for your organization.
This feature is designed for organizations who wish to broadcast Snapshot links to a large number of potential participants from their own roster, knowing that only a portion will choose to complete the measure and enroll in the LENA program. Users send the initial Snapshot links by way of their own texting/email service.
When a Snapshot is completed using the unique link you provided, a participant is automatically created in LENA Online. You can later edit the child and/or their caregiver, and send future Snapshots using LENA's standard text or email method.
You will need:
- Your organization's Snapshot code (provided by your implementation specialist)
- A unique code for each potential participant
- An email address or smartphone number for each potential participant
- A method for sending hand-built links by email or text
Build a Snapshot link for each potential participant
The Snapshot URL (link) for unknown participants uses of the following form:
https://o.lena.org/s/o/***/p/###/
*** is your organization's code, generated by LENA Online and provided by your implementation specialist
### is your own unique code for a specific potential participant
To create your own links, use your organization's code in place of ***, and use a unique code for each participant in place of ###.
For example, if your implementation specialist tells you your organization's code is "ABC" and you have a child with unique ID "0001", you would send this link to the parent of that child:
https://o.lena.org/s/o/ABC/p/0001/
Remember:
- Each participant code must be unique - no duplicates!
- Keep track of which code belongs to which child.
- Do not send the same link to multiple families.
Send the link to the participant's caregiver
Using your own email or texting service, send each caregiver the link you have built for his/her child.
What happens when the caregiver clicks the link and completes the Snapshot?
When the caregiver submits their first Snapshot using this link, LENA Online creates a participant with the following information:
- First name: Unknown
- Last name: the participant ID code you provided (e.g., "0001")
- External reference ID: the participant ID code you provided (e.g., "0001")
- Gender: as provided by caregiver during Snapshot completion
- Birth date: as provided by caregiver during Snapshot completion
- Caregiver: none
You can then edit the participant details and add caregiver information the same way you would for any other participant.
Future Snapshots
You can send future Snapshots by the method you prefer, as long as it has been at least 21 days since the last administration.
Option 1: Re-send hand-built link
You can continue using your own email or texting service to send the links you created.
(Subsequent uses of a link will not create a new participant. The Snapshot results will be attached to the participant created on the first use.)
Option 2: Send using LENA Online
If you add a caregiver with a texting number or email address, you can use LENA's built-in "Send Snapshot Link" feature.
